Your job and responsibilities
Are you interested in contributing to the legislative work of the European Committee of the Regions (CoR)? Do you enjoy working in a collaborative environment, handling a variety of tasks, and supporting your colleagues? Would you like to play a key role in assisting the Deputy Director and administrators with coordination and administrative responsibilities?
As an Assistant in the Coordination, Planning, Impact – Cross-Border Cooperation, Territorial Partnerships Unit within the Directorate for Legislative Work 2, you will support the Deputy Director and relevant administrators in a wide range of administrative and coordination tasks.
Your main responsibilities will include:
- Providing administrative support for the coordination of legislative planning and reporting processes related to the opinions of the COTER, ECON, and SEDEC commissions.
- Monitoring workflows and ensuring timely and accurate communication with other European Union (EU) institutions, including the European Commission, the Council, and the European Parliament.
- Organising and supporting the planning of meeting calendars and the preparation of key institutional meetings such as CoR plenary sessions, the Bureau, and the Commission for Financial and Administrative Affairs.
- Preparing and distributing relevant documentation (e.g. meeting calendars, lists of opinions and amendments, expert lists, synoptic tables) and ensuring effective information flow between the Directorate and other CoR services.
You will also:
- Collaborate closely with the coordination team of the Directorate for Legislative Work 1, particularly in managing referrals from EU institutions.
- Assist in coordinating and monitoring the preparation of horizontal outputs, the Directorate’s ongoing and annual work programmes, and related planning and reporting obligations.
- Support the implementation of the Directorate’s communication strategy in cooperation with the Directorate for Communication.
- Draft meeting minutes, procedural descriptions, and summaries of key discussion points in your areas of responsibility.
- As part of a dynamic team, you will also provide backup support to other assistants in the unit and carry out additional tasks as assigned by the Deputy Director.

Job-specific requirements
- You have sound experience in command of IT applications and tools (Outlook, Excel, Word, SharePoint, Teams, etc.), and you have experience in managing TeamSite's in SharePoint, including AI tools in a secure environment or the ability to quickly acquire this knowledge and skills.
- You demonstrate a high level of political awareness, with the ability to navigate institutional sensitivities and align actions with policy objectives and stakeholder expectations.
- You bring precision and thoroughness to the work, ensuring accuracy and consistency in documentation and administrative processes to uphold the quality of delivery.
- You are keen on a customer-oriented mindset, including availability and flexibility.
- You have a thorough knowledge of one of the official languages of the European Union and a satisfactory knowledge of another of the EU official languages. For functional reasons, a very good command of written and spoken English is required, and a good knowledge of French and knowledge of any other EU languages is desirable.
Assets
- Good knowledge of the functioning of the EU institutions, notably knowledge of the political structure and organisation of the CoR.
- Previous experience in administrative support and previous experience within Legislative Work directorates of the CoR would be strong asset.
- Having already worked with Adonis, Agora, Dynamics, EU Survey and the ABAC financial management system would be desirable.
